This privacy policy explains how NDH Cleaning Ltd collects, uses and protects your personal information when you use our website, https://ndhcleaning.co.uk/, or get in touch with us.
NDH Cleaning Ltd is the data controller for your personal information. This means we decide how and why it is used, and we are responsible for looking after it.

We handle personal information in line with the UK General Data Protection Regulation (UK GDPR), the Data Protection Act 2018 and the Privacy and Electronic Communications Regulations (PECR).
2. The information we collect
Information you give us. When you fill in a form on our website, request a quote, or contact us by email or phone, we collect:
- your first name and surname
- your email address
- your phone number
- anything else you choose to tell us in your message, such as the address of the property you would like cleaned or details of the service you need
Please do not include sensitive information (for example, health details) in your messages unless it is needed for us to provide the service safely.
Information collected automatically. When you visit our website, we and our service providers collect some information automatically, but only where you have agreed to it through our cookie banner (except for strictly necessary cookies and security checks). This can include:
- your IP address and approximate location (town or region)
- your browser, device type and operating system
- the pages you visit, how long you stay and how you arrived at our site (for example, from a Google search or advert)
- whether you clicked on one of our Google adverts before visiting
3. How we use your information and our lawful basis
Under UK GDPR we must have a lawful basis for each way we use your information. The table below sets these out.
- Replying to your enquiry and giving you a quote: taking steps at your request before entering into a contract.
- Arranging, providing and managing our cleaning services: performance of a contract.
- Keeping business and financial records: legal obligation.
- Sending you marketing emails about our services and offers: your consent or, for existing customers, our legitimate interests under the “soft opt-in” rule (see section 4).
- Understanding how people use our website so we can improve it (Google Analytics): your consent.
- Measuring and improving our Google Ads, including showing adverts to people who have visited our site: your consent.
- Protecting our website forms from spam and abuse (Google reCAPTCHA): our legitimate interests in keeping our website secure.
- Dealing with complaints and legal claims: our legitimate interests in protecting our business.
Where we rely on legitimate interests, we have considered your rights and are satisfied they do not override our interests. You can ask us for more detail about this.
Where we rely on consent, you can withdraw it at any time. This will not affect anything we did before you withdrew it.
We do not use your information to make decisions about you by automated means only.
4. Emails we send you
Service emails. If you contact us or book a service, we will email you about your enquiry, quote or booking. These are not marketing and we need to send them to provide the service.
Marketing emails. We will only send you marketing emails (for example, news, seasonal offers or reminders about our services) if:
- you have ticked a box to say you are happy to receive them, or
- you are an existing or recent customer, the emails are about similar services to those you have used, and you were given a clear chance to opt out when we collected your details and in every email since
Every marketing email includes an unsubscribe link. You can also opt out at any time by emailing info@ndhcleaning.co.uk. We will stop straight away and will never sell your details to anyone else for their marketing.
5. Cookies, analytics and advertising
Cookies are small files stored on your device when you visit a website. We only use non-essential cookies (analytics and advertising) if you agree to them through the cookie banner when you first visit. You can change your choice at any time using the cookie settings link at the bottom of every page.
- Strictly necessary cookies (NDH Cleaning): make the site work and remember your cookie choices. These do not need your consent.
- Security (Google reCAPTCHA): checks that form submissions come from a real person, not a bot. This does not need your consent.
- Analytics (Google Analytics): tells us how many people visit, which pages they view and how they found us. Only used with your consent.
- Advertising (Google Ads): measures whether our adverts lead to enquiries and lets us show our adverts to people who have visited our site (remarketing). Only used with your consent.
Google Analytics. We use Google Analytics 4 to understand how our website is used. It gives us reports on visitor numbers and behaviour, not information that tells us who you are. You can opt out across all websites using Google’s browser add-on.
Google Ads and remarketing. We advertise using Google Ads. If you agree to advertising cookies, Google may show you our adverts on other websites after you have visited ours, and tell us when an advert led to an enquiry. You can control the adverts Google shows you at My Ad Center.
Google reCAPTCHA. Our forms are protected by Google reCAPTCHA, which looks at things like your IP address and how you interact with the page to tell people and bots apart. Its use is subject to Google’s Privacy Policy and Terms of Service.
You can also block or delete cookies in your browser settings, although parts of the site may not work properly if you do.
6. Who we share your information with
We never sell your personal information. We only share it with trusted organisations that help us run our business, and only as much as they need:
- Service providers who host and maintain our website and provide our email and business software
- Google (Google Analytics, Google Ads and reCAPTCHA), as described in section 5
- Professional advisers such as our accountants, insurers and legal advisers
- Authorities where the law requires us to, for example HMRC or the police
These organisations act on our instructions and must keep your information secure.
Transfers outside the UK. Some of our providers, including Google, may process information outside the UK, for example in the United States. Where this happens we make sure your information is protected by appropriate safeguards, such as the UK-US Data Bridge, the UK International Data Transfer Agreement, or the UK Addendum to the EU Standard Contractual Clauses.
7. How long we keep it and how we protect it
We only keep your information for as long as we need it:
- Enquiries that don’t lead to a booking: 12 months from your last contact
- Customer records, invoices and booking details: 6 years after our last service, to meet tax and accounting rules
- Marketing email list: until you unsubscribe, or after 2 years with no engagement
- Website analytics data: up to 14 months
When we no longer need your information, we delete it securely or anonymise it.
We use appropriate technical and organisational measures to protect your information, including an encrypted (HTTPS) website, password-protected systems and limiting access to staff who need it. No system is completely secure, but if a data breach happens that puts you at risk, we will tell you and the Information Commissioner’s Office where the law requires us to.
8. Your rights
Under UK data protection law you have the right to:
- access the personal information we hold about you and get a copy
- correct information that is wrong or incomplete
- erase your information in certain circumstances
- restrict how we use your information in certain circumstances
- object to us using your information where we rely on legitimate interests, and to direct marketing at any time
- data portability, meaning you can ask us to send information you gave us to you or another organisation in a common format
- withdraw consent at any time where we rely on it
To use any of these rights, email info@ndhcleaning.co.uk. We may need to check your identity first. There is normally no charge, and we will respond within one month (this can be extended in complex cases, and we will tell you if so).
9. Complaints
If you are unhappy with how we have handled your information, please contact us first at info@ndhcleaning.co.uk and we will do our best to put it right.
You also have the right to complain to the Information Commissioner’s Office (ICO), the UK’s data protection regulator:
- Website: org.uk/make-a-complaint
- Phone: 0303 123 1113
- Post: Information Commissioner’s Office, Wycliffe House, Water Lane, Wilmslow, Cheshire, SK9 5AF
10. Children
Our website and services are not aimed at children. We do not knowingly collect personal information from anyone under 13. If you believe a child has given us their details, please contact us and we will delete them.
11. Links to other websites
Our website may link to other sites, such as social media pages or review sites. We are not responsible for their privacy practices, so please read their own privacy policies.
12. Changes to this policy
We may update this policy from time to time, for example if we start using new tools or the law changes. The latest version will always be at https://ndhcleaning.co.uk/privacy-policy/, with the date it was last updated at the top.
